How to track payments and costs for each rental vehicle
The rental amount, money already received and vehicle expenses are different records. Keeping them separate helps your team answer two everyday questions: how much is still outstanding and which costs need review.
1. Check the agreed rental amount
Review the period, daily rates, extras and adjustments that make up the total. Record changes in the relevant quote or rental so the team uses the same reference amount. For multi-vehicle reservations, check each vehicle's items and the reservation total.
2. Record each payment received
For partial payments, record the amount actually received and the date. Check a receipt sent by a customer against the payment source. Before creating another entry, check whether that payment is already recorded.
- The rental associated with the payment.
- Amount, date and payment method.
- An internal reference that lets your team verify the entry.
- Differences, refunds or adjustments still awaiting review.
3. Review the outstanding balance
Compare the current total with confirmed payments. Review balances before pickup and return according to your customer service process. Do not assume an issued invoice has been paid: invoicing and receiving money are different steps. If you find a discrepancy, review the entry and payment source before adjusting amounts.
4. Assign expenses to the right vehicle
Record the cost, date, category and related vehicle. Use a consistent approach for maintenance, cleaning and other direct expenses. Shared business costs require a separate allocation method if you want to compare them across vehicles.
5. Compare periods using the same criteria
When reviewing reports, check whether the date refers to the rental, the due date or the payment received. Compare equivalent periods and criteria. Revenue minus the costs you recorded does not necessarily equal profit: other expenses, fees and adjustments may be outside that view.
- Recorded payments match the money actually received.
- Outstanding balances have a next action assigned.
- Expenses are assigned to the right vehicle and period.
- Each discrepancy has a person responsible for checking it.
